Meeting Minutes from 21 November 2001

At Little Wars in Fairfax, Virginia

Attending BoD members were John Camarano, president, Walt O’Hara, vice president, John McConnell, secretary, and Orest Swystun, treasurer. Also in attendance was Cleo Hanlon, co-editor of the newsletter. Absent was Roxanne Patton.

Minutes of the previous meeting not being available, John Camarano gave a synopsis of the points of discussion. These included coordination with NOVABS and the upcoming GameCon, including the expected running of “Down in Flames”.

Mention was made about the effectiveness of the Yahoo! Message board in sharing information amongst the BoD members since its inception by Orest. GAMECON 16 is only 18 weeks away, of items that need to be discussed for that day include:

  • Polo Shirts for the BoD members.
  • T-shirts for sale to members; these should be “generic” ones that will be able to be sold at future events also. The vendor requests a “.vfd” file format of the logo to be used. [Walt will look into getting this.]
  • Map(s) of rooms at Westpark Hotel [John Mc. Will provide files (from previous conventions) on the Yahoo! Files area.]
  • The first vendor table is free for any vendor, while the additional tables will be $25.00 each.

Fall-In! Report:

6-8 names and dues were gathered and the NOVAG table sparked good recognition.

Newsletter advertisement pricing is as follows:
$20 for a whole page for one issue
$60 for a whole page for one year (4 issues)
We will also consider free product from vendors in lieu of cash, though both parties ahead of time must agree to the actual product.

Money Raising Ideas:
Donations from stores (either product for raffle/auction or actual funds)
NOVAG-sponsored tournaments with entry fees
Sales of Cokes, candy, etc. at conventions
Donation of gaming products from members and stores for auctions

Communications with other gaming groups:

Look into having HMGS-East sponsor a postcard mailing to their local (VA, MD, DC, PA) membership GAMECON 16. [John C.] John will act as the NOVAG ‘voice’ with HMGS-East.

Upcoming Schedule of Events:
12 January 2002 – Game Day at Game Parlor [John Mc.]
23 February 2002 – Game Day at Little Wars [Roxanne]
30 March, 2002 – GameCon 16 [John C.]
April 2002 – Cold Wars (HMGS-East); NOVAG table, room, events [all]
August 2002 – GameCon 17 (for now) with tentative theme of Air War World War 2 with potential speakers/guests from the WWII of the flying group the “Tuskegee Airmen”. [Orest has lead on this item, John C. is overall coordinator]
Game Demos can be held at any time with NOVAG Banner. John C. holds it and will provide it with pre-coordination to others for this purpose. Whoever runs these should have membership flyers, blank membership cards, and event flyers also with them.
